When I started in our small, parochial school library a few years back, I ran into
the same situation. Well-intentioned folks were cleaning out their closets and
donating geography books to us that were from 1960. Of course we did not want to
turn down any donations – these individuals were trying to help. Recognizing this
could be a problem, however, we devised an informal donation policy. Nothing in
writing as that would add just another piece of paper to keep up with and might
make the library seem unwelcoming.
When we receive any donation we are kindly inform the donor that if, for some
reason, we can’t use the item in our collection we then:
1) Offer the item to the school faculty for use in their classroom.
2) If not used by a member of the faculty, items are donated to our local Friends
of the Library organization.
Just about all donors are fine with this and are just happy to help in whatever way
they can. If a book is received anonymously it falls under the same donor
guidelines.
I always keep a couple of empty boxes in the media center somewhere. I collect
donated items I know myself and teachers won’t use in these boxes. Once the boxes
are full I take the boxes to the local Friends of the Library. It’s really not that
much work and it creates good will.

Subject: Target: Donation Policies
Hello!
I receive many donations at one of my Media Centers - some good stuff, but a
lot of junk too.
I need to establish a Donation Policy that gives me the right to say,
"Thanks, but no thanks." Of course, a lot of these donations just appear out
of nowhere with a note taped to a box. :)
Would any of you be willing to share your donation policy with me? Any help
would be appreciated.
Warmly,
Kristin Marley
