Here is the HIT I promised.  Thank you everyone for your generosity!

Susan,
   This year each elementary library has to submit a monthly report to our 
media director. Part of that report is library usage by class and individual 
visits. I have come up with the simplest form possible since we are an 
elementary building.  I just created a page that has four separate columns 
each with 25 rows - when students come in they just write down their 
initials and grade level  - we keep it at the check-out desk.. my aide came 
up with a very detailed form including columns for reading counts quizzes, 
check-out, reference, etc... but since all we do is count the numbers we 
went back to this simplest of forms... I don't record usage by small 
groups... hope that helps a little bit...

We have a sign-in sheet when students come to the library.  They sign in, 
put
the time, teacher (or before, lunch or after), purpose.  When they leave, 
they
sign the time.  We have TAs or my parapro who monitors this.  Shelley Skaar

One of my librarians has her kids sign in. This helps when the teacher wants
to know why the student was in the library for such a long time. She has the
students write down the time they come in and then at a glance she can see
who has been in the library, who is still there and how long they have been
in there.

We are toying with setting up a record, printing out a barcode and attaching
it to a bright colored 3 X 5 note card. Students would scan it as they came
in. Our software system records in library usage. We could get a count at
the end of the day.

I have had another librarian use marbles, or something similar and as
someone walked in the library, they put one in a jar. She counted them at
the end of each day.

I am so low tech it's silly.  I have a sign in sheet for individual students
that has 20 lines per side.  At the end of the week I count up the sheets,
multiply by 40 and then unscientifically I add 15% to total to account for 
the
kids who never sign in.  That's my weekly usage.  I also count the number of
classes that use the library (for whatever reason) on my monthly report (see
attached for December - rough month).  At the end of the year I compile all 
the
student and class usage into a lovely chart comparing it to past years.

Learning and teaching:
        Demonstrated scientific research and databases for energy topics with 
Doser’s science classes.  Split classes in half with Schicht for an 
in-depth lesson from me on working in partnership and choosing partner books 
while Schicht was able to zero in on some accountable talk issues in her 
classroom with the other half.
Information access and delivery
        This was a very confused and confusing month with many breaks in service 
due to testing and storm issues.  Worked on but did not complete the short 
stories brochure.  Most of my energies we directed at the Bookfair (see 
below)
Program Administration
        Ran a first ever Scholastic Bookfair with the assistance of Key Club, Dec 6 
– 12 (including all day Saturday 12/9).


10.5 days service for students =179.8  students per day = 29.97 students per 
period
18.6 classes per week seen = 5.333 classes per day classes
Circulation of  1389 checkouts and 659 renewals = 2048 total circulation
195 books per day!!!

This is significant because the total circulation for Dec, 2006 is up 587 
over Dec 2005!!

I have an 8 x 11 sheet divided into 5 days with the following 
blocks--classes/#
students, individual book exchange, research, before/after school.  I just 
make
tally marks in the last four catagories.  I change the paper each week (each 
day
is dated) and file until I need to make my statistical report.  I find it's
pretty easy to keep track of--I keep it right on the circ desk so I don't
(usually) forget.

In the last school I worked in, which was a hs, we counted the number of
students when classes came in, and students also had to sign in during their
free periods. We kept a tally of other users, such as teachers, for a
separate count. If you regularly have small groups coming in, the tally
system may be easier for you. At the end of the day, we would total all the
users, and I would input them into Excel. It really made a nice impression 
on
my chairperson (whom I had been telling all year that we had tons of kids in
during free periods every day!)to be able to show her a NUMBER at the end of
the year..you will all probably be surprised at how high it is!

I have a page of numbers in small squares (made in excel) on a clipboard. 
When the students come in without a class, they are to mark off a number on 
the paper.  At the end of the day, I can easily see approx. how many 
students have been in the library without their class.   This has worked 
well for us, even though we have nearly 1000 students.

Other than my daily circulation stats I've never found anything better than 
just pencil paper and tally marks each day.  It's tedious, unscientific, and 
hard to remember to count when I'm so busy.  I do the best I can, and also 
create a large column for anecdotal comments.

I also create monthly library program reports that include all of my areas:  
teaching, resource support, administration, and technical support.  Lisa

I would love a hit.

I know I am at a high school but I thought the information could
transfer somewhat.  The biggest reason I have students sign in is
because it shows how busy you are.  It lets you advocate for more money,
extra help, more flex time, etc. with the data to back it up.

I have students sign in.  I made the mistake of having students sign in
only if they are using the computers and then tried to change to having
everyone sign in when they came in the door.  It is still hard to get
students to sign in when they just want a book or to study.  Attached is
the Excel Sheet I use.  It is in the Landscape Format.

Hi, Susan

WE are a Pre-K to 4 campus and have recently started having the kids sign in 
when they come to the library without their class.  The "form" we have lists 
the date, name, grade, first three letters of the teacher's name, time, and 
the reason for their visit.  Once they get the hang of it (and you do have 
to show the little ones), it's easy to do.  I even put teacher's visits to 
the library for equipment, to check out a video, etc.  The reason for the 
visit could be checkout, run an errand for the teacher, take an AR test, do 
research, take a test (some teachers send them to the library either 
individually or in small groups to take make-up tests, etc.), or any reason 
they come to the library without their class.  Most people do not realize 
how much walk-in traffic a library has, AND, most importantly, how it takes 
just as much time to help one person as it does to help several at a time.

Hi Susan,
We were required to do this one or two years and some of us decided to use a 
100's chart. As the kids came in, they will cross of one of the blocks on 
the way to 100. Of course some did not, others crossed out the wrong block 
etc. But, it was fairly helpful.
Some schools purchased some counter that stuck on the wall by the door and 
as kids came in it would count them. I don't know what happened when they 
left???
Good luck. I don't think it really shows  a true picture, but then what 
really does. I am glad we no longer do it.
